Practice law. Let the practice run itself.
Small firms lose new clients to slow replies, lose hours to "any update?" calls and unbilled time, and carry the weight of trust accounting that has to be perfect. LegalHQ is the practice management solution we build around your firm: intake and conflict checks, matters and deadlines, time, billing and trust, and a client portal and app with your firm's name on it. Tailored to your practice areas, with you shaping what comes next.
- 24/7every new inquiry gets a reply and real consult times
- Beforethe consult, conflicts are checked across every matter and party
- $0is the lowest a client's trust ledger can go: overdraws are blocked
- 1system for intake, matters, billing, trust and your client portal
Small firms lose clients, hours and sleep in the same four places
Solo attorneys and small firms are excellent at the law and stretched thin on everything around it: inquiries that arrive after hours, clients calling for updates, time that never gets entered and trust accounting that has to be perfect.
-
The challenge
New clients call the next firm
Someone with a legal problem contacts several firms. If voicemail answers at 7 PM, they've booked with someone else by morning.
How we solve itEvery inquiry answered, day or night
A reply within a minute, intake questions for the practice area, a conflict check and a consult on the attorney's calendar.
-
The challenge
"Any update on my case?"
Clients call because they can't see what's happening, and poor communication is one of the most common complaints clients make about lawyers.
How we solve itA portal that answers before they call
Plain-English status, what's next and what we need from you, with secure messages and documents on the web and in your firm's own app.
-
The challenge
Billable time slips away
Time entered at the end of the week is time forgotten. Short calls and quick emails are the first to go.
How we solve itTime captured as you work
Calls, emails and documents become suggested entries you approve in a minute, and invoices are ready when you are.
-
The challenge
Trust accounting keeps you up at night
One transfer from the wrong ledger or an unearned fee in operating can turn into a bar complaint, and month-end reconciliation eats a weekend.
How we solve itTrust accounting with guardrails
A ledger for every client, transfers only when fees are earned, overdraws blocked, and a three-way reconciliation each month.
Highly customizable, with you shaping the roadmap
No two law firms work the same way, so we don't ask you to change how you work. We tailor LegalHQ to your firm, build what's missing, and as we go, you have a real say in what comes next.
Set up the way you work
Your workflows, templates, wording, brand and settings. We configure LegalHQ around your firm instead of the other way around.
Built for your specific needs
Need something that isn't there yet, a custom report, a special workflow or a connection to a tool you rely on? We design and build it with you.
You influence the roadmap
A named contact, regular check-ins and a direct line into what we build next. Your priorities help decide what comes first.
One system for the firm, the attorney and the client
Most small firms juggle an intake form, a calendar, a billing tool, a trust spreadsheet and a lot of email. LegalHQ brings it together for solo attorneys and firms with up to 25 lawyers.
The firm
A web app for attorneys, paralegals and the front desk.
- Every call, form and chat in one intake inbox
- Matters with deadlines, tasks and documents
- Time, invoices and trust ledgers
- The numbers that run the firm
The attorney
An iPhone and Android app for court, calls and the car.
- Today's hearings, consults and deadlines
- Client messages, answered from anywhere
- Dictate a note and it becomes a time entry
- Approve invoices and engagement letters
The client
A portal on the web and an app, both with your firm's name.
- Where my case is and what happens next
- Secure messages instead of email
- Upload, sign and pay in a few taps
- No password to remember
What connects them: every inquiry, document and approval moves the matter forward, with nobody re-typing it.
- An inquiry arrives at 9:42 PM. It's answered, summarized and checked for conflicts.
- The consult is booked on the attorney's calendar, and the engagement letter is ready to sign.
- The matter opens itself from your template, with deadlines, tasks and a portal invite.
- The client sees each step, and time and trust are tracked as the work happens.
Intake: answer every inquiry and clear conflicts before the consult
Most people looking for a lawyer contact more than one firm, and many move on if they don't hear back within a day. With LegalHQ they hear back in under a minute.
Every inquiry, answered
Website forms, chats, texts and missed calls get a reply within a minute in your firm's voice, with intake questions for the practice area and real consult times to pick from.
Conflicts checked first
The prospective client, the other side and related parties are searched across every client, contact and matter, including closed ones. Possible matches go to an attorney to clear before anyone books.
A summary, not a transcript
Each inquiry arrives as a short summary with the key dates, so the attorney walks into the consult prepared. Dates that matter, like a possible limitation date, are flagged for the attorney to confirm.
From consult to signed
After the consult, the engagement letter for that practice area and fee type is ready to send for e-signature, with the retainer request attached.
Why it mattersThe firm that answers first and sounds organized is usually the firm that gets hired.

Matters: every deadline, task and document in one place
Missed and mis-calendared deadlines are a leading cause of malpractice claims. In LegalHQ, a matter opens from your template with its deadlines, tasks and documents already in place.

What Maria sees
Now: We're preparing your demand letter to the insurance company.
Next: We send it and wait for their offer, usually 30 to 45 days.
We need: Your latest physical therapy bill.
- Deadline chains from your templates. Enter a trigger date, like a filing or service date, and the follow-on dates are added from your firm's templates. An attorney confirms the key ones.
- Nothing slips quietly. Deadlines show on every calendar involved, remind early, and escalate to a second person when they're close and not done.
- Documents that read themselves. Records and long PDFs are summarized and searchable, and documents are drafted from your templates with the matter's details filled in.
- One status, written once. The stage you set is the plain-English update the client sees, so nobody writes the same update twice.
Templates for your practice areas: personal injury, family law, estate planning, criminal defense, immigration, real estate and business law, each with its own intake questions, stages, deadline chains, documents and fee type. We start from these and set them up the way your firm works.
The client portal and app: answers before they have to call
Your clients get a portal on the web and an iPhone and Android app with your firm's name and logo. They see where their case is, what happens next and what you need from them, at any hour.
Status in plain English
Each stage of the matter has a short explanation written for clients, and they're told automatically when it moves forward. Fewer "any update?" calls, and clients who feel looked after.
Secure messages, not email
Conversations stay on the matter, encrypted and out of inboxes that get forwarded. Attorneys answer from the app, and the front desk can see what's waiting.
Upload, sign and pay
Clients send photos and documents from their phone, sign engagement letters and forms, and pay invoices or top up a retainer without a trip to the office.
No password to forget
Clients sign in with a secure link or code sent to their phone or email, and with Face ID in the app. Each person sees only their own matters.
Why it mattersClients who can see progress call less, complain less and refer more.
Hi Maria
Good news, Maria: your urgent care records came in today. Nothing in them changes our plan.
One thing left before we send the demand: your newest physical therapy bill.
Thank you! Uploading it now. Should I keep going to PT twice a week?
IMGPT bill Oct 27.jpg
Yes, keep every appointment your doctor recommends. I'll message you as soon as the demand goes out.
Time, billing and trust, done by the book
Hourly, flat fee or contingency: LegalHQ captures the work as it happens, turns it into clear invoices, and keeps client money where it belongs.
Suggested time from your day
Calls, emails, messages and documents you worked on become suggested entries with the matter and a plain description. Approve them in a minute at the end of the day. Nothing is billed until you do.
Invoices clients understand
Hourly, flat fee, phased and contingency matters, with your rates and descriptions. Reminders go out for you, and clients pay from the portal.
Trust accounting with guardrails
Every client has their own trust ledger. Earned fees move to operating only against an approved invoice, and any payment that would take a client below zero is stopped before it happens.
Monthly three-way reconciliation
Bank statement, trust account and the total of client ledgers, side by side every month, with a report you can keep for your records.
Why it mattersTime entered the same day is time you get paid for, and trust records you can show anyone, any time, let you sleep at night.

On the go: the firm in your pocket, the numbers on one page
Between the courthouse and the next meeting, attorneys see the day, answer clients and capture time from their phone. The firm's owner sees how the month is going without running a report.
Today, at a glance
Hearings with the courtroom, consults booked overnight, deadlines due this week and the messages waiting for you.
Talk, and it's written down
Dictate a note after a hearing. It's saved to the matter, tidied up, and suggested as a time entry.
Numbers that answer real questions
How many inquiries became clients and where they came from, unbilled time, what's been collected, and which matters are waiting on whom, plus a Monday summary by email.
Why it mattersLess time at a desk catching up, and decisions made on numbers instead of hunches.

A law firm website that starts the intake
This is where we have a head start: we've built websites for small businesses since 2006. Your LegalHQ site is designed by us for your practice areas and your clients, and every button on it feeds the system behind it.
- Free case review and consult booking that land in your intake inbox, already checked for conflicts.
- Practice area pages and guides that answer the questions people search for and ask AI assistants.
- Attorney bios, results and reviews, with the disclaimers your state's advertising rules call for, approved by you.
- A client login to the portal, right on your site.
- Spanish and other languages for the clients you serve.
- Keeping your current site? Add the intake and portal to it instead.
AI drafts. Attorneys decide.
LegalHQ uses AI where it saves real time, and it never gives legal advice or sends anything on its own. It follows the ABA's 2024 guidance on lawyers' use of generative AI: protect client confidences, review the work, and stay in charge.
- Intake summaries and conflict searches for an attorney to review and clear.
- Document summaries of records and long PDFs, linked back to the page they came from.
- Drafts from your templates, client updates in plain English and suggested time, all approved by a person.
- Client data stays confidential. It is never used to train AI models, and each feature can be turned off for the firm or a single matter.
Up and running fast, with us beside you
We start with how your firm already works, set LegalHQ up around your practice areas and people, and stay with you long after launch.
- We learn your firmWe sit with whoever answers the phones, walk through a few matters from start to finish and look at last month's inquiries. That tells us what to set up first.
- We set it up your wayYour intake questions, matter stages, deadline templates, documents, rates and fee types. We move your contacts, matters and documents for you, and balance your opening trust ledgers with you.
- You try it side by sideFor the first 30 days, new inquiries and the client portal run through LegalHQ while everything else stays the same. You see the difference before you switch anything else.
- We keep building it with youA named contact, regular check-ins and a real voice in what we build next, whether that's a new practice area, a court's e-filing quirks or whatever your firm needs most.
Why you can count on us
We've designed and built websites, client portals and custom applications for small businesses since 2006, and we stay with our clients long after launch. See our work.
- A 30-day results report: inquiries answered, consults booked, time captured
- Month to month, with no contract
- Export all of your data any time, no ticket needed
- Early firms lock their price for 12 months
One system instead of five subscriptions
Practice management software is priced per user, with the portal, intake and AI sold as add-ons. Website and marketing vendors bring in leads, then stop at the contact form. LegalHQ joins the two, built around your firm.
| Practice management software | Website & marketing vendors | LegalHQ | |
|---|---|---|---|
| Price | Per user, with key features as add-ons | Monthly retainer, often with a contract | One price for the firm, staff included, month to month |
| New inquiries | Intake forms, often an add-on | A contact form and an email | Answered in under a minute, summarized and conflict-checked |
| Client portal | Generic portal with the vendor's name | None | Your firm's portal and app, with plain-English status |
| Trust accounting | Included or a separate tool | None | Client ledgers, overdraw blocks and monthly three-way reconciliation |
| Website | Separate vendor | Yes, not connected to your matters | Designed by us and connected to intake |
| Getting started | Set it up yourself | A new site, nothing else changes | We move you, with 30 days side by side |
| Your say | A feature request form | Not applicable | You help decide what we build next |
Confidential by design, because your clients' secrets are on it
Encrypted and kept separate
Every firm's data is kept separate and encrypted in transit and at rest, and two-step sign-in is on for everyone at the firm.
Need-to-know access
Matter-level permissions and ethical walls keep people out of matters they shouldn't see, and clients see only their own.
Records that hold up
Every trust transaction, transfer, edit and document view is logged with who and when, and nothing in the trust history can be quietly changed.
Kept as long as you need
Closed matters and trust records are kept for the period your state requires, with a clear process when it's time to close a file.
Messages done by the rules
Texts and emails to prospects respect opt-outs and quiet hours, and client conversations stay in the secure portal.
Backed up, in the US
It runs on Google Cloud in the US with continuous backups, and you can export everything, any time.
One price for the firm, staff included
Plans are set by the number of attorneys, with paralegals and office staff included. Month to month. Talk to us and we'll recommend the plan that fits your firm.

LegalHQ questions, answered
Can LegalHQ be customized for our firm?
Yes. It's highly customizable. We set it up around your practice areas, intake questions, matter stages, documents and brand, build the features your firm needs, and you have a real say in our roadmap, with a named contact and regular check-ins.
Which practice areas does it work for?
We start with ready-made templates for personal injury, family law, estate planning, criminal defense, immigration, real estate and business law, and set up any other practice area your firm handles.
Do our clients need to download an app?
No. Clients can use the portal from any browser with a secure sign-in link, no password needed. The iPhone and Android app with your firm's name is there for clients who prefer it.
Does LegalHQ replace our accounting software?
No. Keep your accounting software for the firm's books. LegalHQ handles time, invoices and client trust ledgers, and sends the totals your bookkeeper needs. Your trust reconciliation is done in LegalHQ every month.
Does the AI give legal advice or talk to clients on its own?
No. It answers new inquiries with your intake questions and consult times, and never with legal advice. Summaries, drafts, client updates and time entries are shown to a person at your firm before they're used or sent.
How do you handle confidentiality?
Every firm's data is kept separate and encrypted, access is set per matter, and client conversations stay in the secure portal instead of email. Your data is never used to train AI models, and you can export all of it any time.
Can you move us off our current software?
Yes. We move your contacts, matters and documents for you and balance your opening trust ledgers with you. For the first 30 days, new inquiries and the client portal run through LegalHQ while everything else stays the same.
How much does it cost?
There are three plans, Solo, Firm and Growth, set by the number of attorneys, with staff included. Contact us to talk through your firm and we'll recommend the right one. The value is significant, and the price is surprisingly low.
